A vetting question list

Hiring an independent educational consultant, IEC, is a big decision. This free checklist helps you compare counselors with confidence, ask clear questions, and spot red flags before you commit.

A vetting question list

What this gives you

This printable checklist is a simple worksheet you can bring to every counselor meeting or phone call. It helps families stay organized and make fair comparisons, especially if you are new to the United States college admissions process.

Inside, you will find questions to ask about a counselor’s approach, experience, communication style, services, timeline, and price. You will also see prompts that help you understand what is included in a package, what support the student is expected to do on their own, and how the counselor handles essays, deadlines, and school lists.

The checklist also includes red-flag questions. These are meant to help you notice warning signs, such as vague pricing, pressure to sign quickly, unrealistic promises, or a lack of clarity about who will actually work with your student.

This tool is educational. It does not tell you which counselor to hire. It gives you a practical way to ask better questions and choose based on fit, transparency, and trust.

How to use it

Use the checklist before you hire anyone. You can print it out, save it on your phone, or keep notes in a document while you talk with different counselors.

A simple way to use it is:
1. Talk with two or three counselors, not just one.
2. Ask the same core questions each time.
3. Write down answers in your own words right after each meeting.
4. Compare how clearly each counselor explains their process, fees, and expectations.
5. Notice how they treat your student, not just the parent.

As you go through the questions, pay attention to a few key areas:
- Approach. Do they build a balanced college list based on the student’s goals, budget, and academic profile?
- Experience. Have they worked with students like yours before, including first-generation, immigrant, multilingual, transfer, or arts-focused applicants, if relevant?
- Services. What is included, and what is not included? Do they coach students through the process while making sure the student does their own work?
- Communication. How often will they meet? Who answers emails? How quickly do they usually respond?
- Cost. Is pricing easy to understand? Are there extra charges for additional meetings, summer planning, or application rounds?
- Ethics. Do they avoid guarantees about admission, scholarships, or test results?
